Executive Assistant

The Executive Assistant, Creative reports directly to the Founder/CEO and will primarily be responsible for supporting in various event and design production tasks. This role will serve as a right-hand to the CEO and an integral member of the team. The work will include managing internal organization systems to ensure streamlined workflows. Additionally the executive assistant will liaise with external stakeholders to maintain optimum efficiency while keeping agency standards and creative goals top-of-mind.

KEY RESPONSIBILITIES

  • Provide day to day administrative support to the CEO of Savvy and the broader team as needed. Optimize CEO’s time by providing administrative leverage in the areas of scheduling, traveling, organization and daily needs such as client and project management.
  • Schedule and manage CEO and broader team calendar including prioritizing and resolving conflicts, competing demands and proactively scheduling meetings with internal and external attendees. Ultimately keeping the CEO prepared, on schedule, on time. 
  • Attend all required team meetings and any client meetings at the CEO’s request. Take detailed notes to be sent directly following the meeting. 
  • Coordinate domestic and international travel including but not limited to creating detailed trip itineraries, managing reservations, flights, hotel bookings and car transportation.
  • Organize, prioritize and execute all assigned projects from start to finish. Manage timelines, ensure deadlines are met across high-priority projects, create and maintain detailed tasks lists.
  • Maintain a database of vendors as well as research potential new vendors and venues. Responsible for initial new vendor/venue outreach via email and/or discovery calls in addition to follow-up efforts. Coordinate all venue site visits for clients. 
  • Contribute to the excellent reputation of the CEO through professional,timely and respectful interactions internally and externally.
  • Be able to run errands as needed both personal and professional to pick up supplies, craft, equipment, samples, hard drives, etc.

Qualifications & Experience 

  • 3+ years of professional experience as an executive assistant and/or personal assistant in entertainment, at an event firm, production company, or hospitality industry.
  • Strong verbal and written communication skills
  • High attention to details and ability to manage multiple competing priorities/deadlines in a fast-paced environment. Ability to anticipate and address the CEO’s needs.
  • Ambitious, organized, and a self-starter—can also work in cross-functional situations, ensuring all others teams’ needs and deadlines are met.
  • Resourceful team player with ability to cultivate and maintain professional relationships with clients and staff.
  • Solutions-oriented and ability to remain flexible while under pressure. 
  • Ability to exercise the highest level of discretion in handling confidential and sensitive information.
  • Proficiency in Google Suite, Slack, Notion, Dubsado, Instagram, LinkedIn, etc.

As such, candidates must be based in Los Angeles, CA with reliable transportation.
